We know that personal information related to medical matters can be highly sensitive and we therefore take great care to ensure that our data handling practices place the privacy of your information first.
Patients
What information do we collect from you?
If you are looking to make an appointment, we collect the following information from you directly:
- Account access details: your email address (which is your Docbook username) and password
- Contact details: your name and phone number
- Verification details: the first 4 digits of your Medicare card number
We also collect the following information about you from other sources:
- Usage data: whenever you interatct with our services, we may record what you click on, when you performed those actions, and so on. We also may record your IP address, and information about the device you use to access our website. This information may be collected through server logs and page tags (such as those used by Google Analytics).
What do we use your information for?
- Service provision: Generally, we use all this information to provide you with our services, including with customer support if you need us to assist you with using our website.
- Verification and confirmation purposes: We only use the first 4 digits of your Medicare number to confirm your identity and your bookings.
- Service improvement and maintenance: We use usage data to help us manage and improve our services, as well as to help enforce our Terms of Service and monitor the site for undesirable or abusive activity.
- Contact you about your service or account: We may use your contact details to send you transactional communications, such as booking confirmations, announcements regarding changes to our services or policies, and welcome emails. You cannot opt out of these communications because they are integral to us providing you with our services.
- Contact you for marketing purposes (if you opt in): We may send you emails of a promotional nature if you opt in to marketing email.
- Legal requests and harm prevention: If we receive a subpoena or other legal order, we may need to inspect your data to determine how we should respond.
With whom do we share or disclose your information?
We may disclose your information:
- To our service providers: We may use service providers to help us provide you with our services. These service providers will have access to some of your information, but only to the extent necessary for them to perform the services we ask them to do (and we require them to only use your information for that purpose). An example of a service provider we use is a provider that sends out appointment confirmation SMSes for us.
- To third parties on an aggregated basis to improve or promote our services: No individuals will be identifiable from the information we share with third parties to help improve or promote our services.
What are your rights to your information?
You can:
- Update your account details: through your account management page. Details will be updated immediately.
- Delete your account: by emailing customer support at info@docbook.com.au.
We retain your data for as long as you have an account with us, or to comply with our legal obligations, resolve disputes or enforce our agreements. Data that is deleted from our servers may have residual copies that reside on backup media for several weeks until it is overwritten by newer backups.
Doctors
What information do we collect from you?
If you are a service provider who keeps or wants to keep a listing on our website, we collect the following information from you directly:
- Contact details: your name, email and phone number
- Information about the services you provide: your specialisations, qualifications, languages spoken, etc.
- Photo
- Billing details: if you are required to pay for our services
We also collect the following information about you from other sources:

- If there's a change in business structure or ownership: If our ownership of our business substantially or completely changes (eg, an acquisition or business sale), or we undertake a corporate reorganisation (eg, merger or consolidation), or a similar restructuring activity, you expressly consent to us transferring your information to the new owner or successor entity so that we can continue providing our services.
In accordance with the rules and regulations in place, Docbook will not disclose individuals' contact details or any sensitive information to third parties for their marketing purposes unless that individual actively consents to this. This includes patients, doctors, health care professionals, medical staff and all other Docbook users.

We use cookies to recognize repeat users, and each cookie expires after a certain period of time. We use cookies for several reasons, including: to authenticate your identity, to provide you with personalized content, and to improve our services (usage monitoring and referral tracking).

We may modify this privacy policy at any time. If we do so, we will notify you by publishing the changes on this website. If we determine that the changes materially affect you, we will provide you with additional notice, such as via email.
